Filtering your email with Outlook Rules
July 13th, 2007 by JeffDo you get a lot of email? What do you consider a lot of email? Do the same senders tend to send most of the email? These are questions you should ask yourself. If you answered the first and third questions “YES”, then filtering your email with Outlook Rules may benefit you.
First, what are Outlook Rules? Outlook Rules are filtering rules that allow Outlook to help you filter your email into your various folders containing email.
Why do I need to use Outlook Rules? When you get a large amount of email, it can make it easier to deal with the email if you are able to filter out unwanted, or routine email from your inbox.
How do I setup Outlook Rules? First, open Outlook. Next, navigate to the inbox. Once there, click “Tools”, and then Select “Rules and Alerts”. This should bring up the Rules and Alerts window. If you click “New Rule”, it will open another window that will then help guide you through the setup process for your new rule. In Outlook 2007, Microsoft’s latest version of their popular Microsoft Office Suite, you can click “Next” to move email from a specified sender to a particular folder. In the lower half of the window, click “people or distribution list” and select the user’s email address from your Outlook Address Book you wish to move to the folder and then click “OK”. You will then need to click “specified” to select the folder you wish to move the email to. When you click “specified”, it will open another window and allow you to specify the folder you wish to move the email to. Click “Next” three more times, and then click “Finish”.
